The Baldwin City Chamber of Commerce is committed to transparency about how we handle your information. We keep it simple: we collect only what we need, we never sell your data, and you stay in control.

Who we are

The Baldwin City Chamber of Commerce is a 501(c)(6) nonprofit business association serving the Baldwin City, Kansas community. Our website is located at baldwincitychamber.com. Questions about this policy may be directed to director@baldwincitychamber.com.

Information we collect

Contact and membership information. When you join the Chamber, register for an event, or contact us, we may collect your name, business name, mailing address, email address, and phone number.

Donation information. If you make a donation, we collect the information necessary to process your gift. Payment transactions are handled by our secure payment processor; we do not store full credit card numbers on our servers.

Email newsletter. We use Constant Contact to send our newsletter and email communications. We collect your email address only when you explicitly opt in. We do not add anyone to our email list without their consent.

Website usage data. Our website may collect basic anonymous information about how visitors use the site (such as pages visited and time spent), using cookies or analytics tools. This data is not linked to your identity. See our Cookie Notice below for details.

How we use your information

We use your information only for the purposes for which it was provided — to communicate with you, process your membership or donation, send you newsletters you've opted into, and keep you informed about Chamber events and programs. We do not use your information for automated decision-making or profiling.

Member information and directory listings

Member information is shared only according to each member's individual wishes. When you join or renew, you will be asked how you would like your information to appear in Chamber communications and directories. We will honor your preferences and will not share your information beyond what you've authorized.

We do not sell your information

The Baldwin City Chamber of Commerce does not sell, rent, trade, or otherwise transfer your personal information to outside parties for commercial purposes. This applies to members, donors, newsletter subscribers, and all website visitors.

Third-party services

Constant Contact. Our email newsletter is managed through Constant Contact. When you subscribe, your email address is stored in Constant Contact's platform subject to their privacy policy. You can unsubscribe at any time using the link in any email we send.

Payment processing. Donations and payments are processed through Square or Quickbooks, which maintain their own privacy and security standards. We recommend reviewing their privacy policy when making a payment.

Website analytics. We may use a third-party analytics service (such as Google Analytics) to understand how our website is used. This service may set cookies. See our Cookie Notice for more information.

Donor privacy

We value the trust of those who support the Chamber financially. Donor names and giving histories are kept confidential. We do not sell, share, or trade donor information with any other organization. Donors who wish to remain anonymous should notify us at the time of their gift and their wish will be respected.

Data retention

We retain your information for as long as necessary to fulfill the purpose for which it was collected and to comply with applicable legal obligations. Members who do not renew and donors who make one-time gifts may be retained in our records for up to 5 years for accounting and relationship purposes.

Your rights

You may contact us at any time to review, update, or request deletion of your information. Email subscribers may unsubscribe at any time using the link in any Chamber email. Members may update their directory preferences by contacting the Chamber office.

Children's privacy

Our website is not directed at children under the age of 13, and we do not knowingly collect personal information from children.

Changes to this policy

We may update this policy from time to time. When we do, we will revise the effective date above. Significant changes will be communicated directly to members and newsletter subscribers.
